BACKGROUND

Southeast Seattle Education Coalition (SESEC) is a coalition of community-based organizations, schools, and parents/caregivers working collaboratively to improve education in SE Seattle. We believe in developing a collective voice –one that is inclusive of BIPOC communities and those who are often missing from conversations. Collectively, we advocate for equitable educational policies for our children, families, and the SE Seattle community. 

SESEC’s work is divided into two broad categories: Externally: 1) advocacy/policy/systems change, and 2) building community voices; and Internally: 1) operations, and 2) organizational support. This position will support the Internal functions of SESEC with a major focus on operations as defined below.

SUMMARY OF POSITION

The position will report to the Associate Director. This successful candidate will work regular, in-office hours with the Associate Director. This is NOT a remote position. The position provides critical support on a broad range of tasks and activities including payment processing, tracking Accounts Receivable and Accounts Payables, managing grants and reports calendars, processing invoices, tracking payments, and other operational responsibilities as assigned. The position is expected to begin in mid-October 2022.

This is a .75 Full Time Equivalency (FTE) position scheduled for 30 hours per week. The position has the possibility of becoming full time subject to funding and organizational needs. 

RESPONSIBILITIES/ESSENTIAL FUNCTIONS

Key responsibilities include:

Organizational 

  • With support from the Associate Director and external accounting firm, develop and implement financial tracking systems to manage budgets, accounts payable, accounts receivables, and relevant financial transactions, ensuring proper implementation of financial policies and controls.
  • Assist SESEC Directors and Managers in day-to-day coordination and management of SESEC’s operational activities.
  • Create and maintain clear and accurate operations documents/procedures for reference purposes.

Financial and Operations Support

  • Coordinate with SESEC’s payroll vendor to ensure timely transfer of information for staff and subcontractor payment.
  • Manage payment processes for vendors, subcontractors, and staff with support of payroll vendors and other staff as needed.
  • Review contracts and authorize relevant payments to vendors and subcontractors.
  • Request, track, and process reimbursement requests in a timely manner.
  • Generate regular and ad hoc financial reports as needed.
  • Support in budget tracking and planning, including development of the annual budget.
  • Process mail, log checks, prepare deposit slips
  • Track grant and contract payments.
  • Prepare invoices for submittal to contractors for payment of expenses and reimbursables 

Human Resources

  • Assist in hiring, onboarding, and training of new employees.
  • Develop personnel files for SESEC staff.
  • Develop and maintain files for subcontractors including personal services contracts and W9 forms.

General

  • Support SESEC’s team with tasks, projects, and assignments.
  • Strives for racially equitable outcomes; takes responsibility for creating and maintaining a safe and welcoming community by making room for people of color, trans and gender-non-conforming folks, and other populations who routinely encounter systemic oppressions.

QUALIFICATION REQUIREMENTS:

  • Minimum two years of experience working on program management, bookkeeping and/or accounting systems in a non-profit setting.
  • Operational familiarity with SESEC’s financial and payroll software, e.g., QuickBooks, Gusto, or similar programs.
  • Experience and ability to build trusting relationships with schools, nonprofits, BIPOC community and immigrant and refugee communities, school leaders, elected officials, and community members.
  • Able to work independently with limited direct supervision and management.
  • Able to work under deadlines and pay attention to details.
  • Flexible and enjoy helping to develop systems and structures and tolerate growth and change. 
  • Demonstrated ability to understand and retain information in confidence. 
  • We work in an open concept office and will be expected to manage your time and able to focus when needed and collaborate with staff on project development and management.

HOURS, RATE, & BENEFITS

Annual Full Time Rate: $43,000 – $48,000/year starting salary
Status: 30 hours per week (.75 FTE)
FLSA Status: Exempt 
Benefits: Fully paid medical and dental; employees are responsible for costs for spouse and/or dependents. Generous vacation and sick leave package, holiday schedule.

Projected Start Date: October 17, 2022
